Sharing your WordPress instance with collaborators is simple and flexible with Your Apex Managed Panel. Whether you need to give a team member full control or limit their access to certain features, the sharing functionality ensures you stay in control while enabling collaboration.
This guide takes you through inviting users, assigning roles, managing access, and customizing privileges, so you can share instances confidently.
Sharing an Instance
To share an instance, follow these steps:
Navigate to Instance Details
- Log in to Your Apex Managed Panel, locate the instance you want to share, and click on its name to open the Instance Details page.
- Find the Share button in the top-right corner and click it.
Invite a User
- Enter the email address of the person you want to share the instance with.
- Assign them a role using the dropdown menu. Hover over each role for an explanation of its permissions.
Send the Invitation
- Once you’ve filled in the details, click Invite User.
- An invitation will be sent to the user’s email address. You’ll see their status listed as Pending until they accept the invitation.
Manage Invitations
- If a user doesn’t respond promptly, you can resend the invitation by clicking the button next to their pending status.
Manage Permissions
- Once the user appears in the People with Access list, you can update their role or remove their access entirely if needed.
After sharing an instance, a new icon will appear on the instance’s tile in the My Instances view. Clicking on this icon takes you back to the sharing options for that instance.
Assigning Custom Privileges
When default roles don’t meet your needs, you can assign Custom Privileges to users for a tailored experience.
Select the Custom option from the roles dropdown.
Review the available categories and privileges, and select what you’d like to grant access to for each user. Categories include:
- General Management (e.g., changing labels, setting domains, creating staging sites).
- WordPress Management (e.g., updating WordPress, managing themes and plugins, backing up sites).
- Manage Related Hosting (e.g., managing DNS, SSL certificates, email accounts, and databases).
Click the checkmark next to a category to enable all privileges within it, or select individual privileges as needed.
Key Considerations
- Be cautious when granting the Delete Instance privilege to avoid accidental deletions.
- Privileges in the Related Hosting category apply to every site hosted on the same server.
Managing Shared Access
At any point, you can revisit the Share page for an instance to adjust privileges, change user roles, or remove access altogether. This flexibility helps ensure that collaboration always matches your current needs.
